Meeting Assistant - IT Admin setup guide

Written by Denisa Arjoca

This is a one-time, 2-minute setup for a Microsoft 365 administrator.

Until it's done, no one in your organisation can connect Meeting Assistant to their calendar.

What you're approving

Meeting Assistant is a third-party Microsoft 365 integration that joins meetings via a bot to record and transcribe them. Like all such integrations, it requires admin consent before users can connect.

Permissions requested:

Permission

Purpose

Calendars.Read

Read users' meeting schedules

OnlineMeetings.Read.All

Get Teams join details for the bot

OnlineMeetingArtifact.Read.All

Meeting metadata

User.Read

Identify the connected user

offline_access

Refresh tokens without re-auth

Meeting Assistant cannot read email, modify calendars, or access OneDrive/SharePoint.

How to grant consent

You'll need a Global Administrator, Privileged Role Administrator, Cloud Application Administrator, or Application Administrator role.

  1. Open this link.

  2. Sign in with your administrator account.

  3. Click Accept.

  4. You'll be redirected to a page showing raw text starting with {"error":"Validation Error"...}. Ignore it -> consent has been granted successfully. This is a known cosmetic issue on our redirect page.

  5. Close the tab.

To confirm it worked, go to Microsoft Entra admin centre β†’ Enterprise applications and search for Meeting Assistant. If it's listed, you're done.

Reviewing or revoking access later

Microsoft Entra admin centre β†’ Enterprise applications β†’ Meeting Assistant. From here you can view permissions, restrict access to specific groups, or revoke consent entirely.
